A Canadian window and door manufacturer: from paper site measures to a clean quoting pipeline

A Canadian window and door manufacturer had moved quoting to an offshore team so its sales consultants could sell, but handwritten site measurements broke the handoff and sales still spent 60% of its time on quotes. Globosmart studied the full quoting process, then built a site measurement app that captures every opening, photo and installation detail in one consistent packet.

The strategy was right. Move quote creation to an offshore back office, so an expensive sales team could spend its time winning business instead of building price offers.

It was not working. The owner was watching the sales consultants spend 60% of their time on admin, building quotations instead of closing.

How quoting actually worked

  • A sales consultant or surveyor measured every window and door at the client’s site, on paper
  • Back at the office, an assistant scanned the sheets and built two packages: one for the offshore quote team, and one for the installation crew to price the installation
  • Each group needed the information in a different form, so each package was assembled by hand
  • The quote was built in WindowMaker, and the proposal was built from the quote

Everybody was frustrated, for different reasons

The sales consultants said the offshore team did not understand the quoting process, made too many mistakes, and that they would be better off building quotes themselves.

The back office was fighting handwriting, personal shorthand and inconsistent formats, and chasing clarifications on jobs that had already been promised.

The owner saw the most expensive people in the business doing its least valuable work.

We studied the process before building anything

The problem was not the offshore team and it was not WindowMaker. It was the input. Every quote started from a handwritten sheet that each measurer filled in their own way, and every step after it inherited that inconsistency.

So the fix started where the information did: on site, in the measurer’s hands.

What we built

  • A site measurement app on the crew’s tablets and phones, built around the manufacturer’s own intake sheet
  • Dedicated flows for windows, doors and patio doors, using the manufacturer’s own product codes, so only the relevant fields appear
  • One-tap duplication for repeated openings, and a built-in glossary of every code
  • Inside and outside photos for every opening, elevation photos, and a sketch pad for bays, bows and arches
  • Installation details captured on the same visit: site conditions, safety checks, trim and finishing
  • Works on site with no signal, and sends the full packet the moment the device is back online
  • A branded, signature-ready PDF packet in one tap, filed automatically with every photo and a data file ready for the quote software

What changed

  • One consistent packet per job, instead of one handwriting style per measurer
  • The back office and the offshore team stopped interpreting notes and started processing data
  • The installation crew priced its work from the same site visit
  • Sales consultants got their week back for the work they were hired to do

What comes next

The data file the app produces is the bridge to the next phase: feeding measurements straight into the quote software, so quotes are built with even less manual entry.
